Timesheet


A timesheet is a structured way to record, track, and manage working hours. It helps users log tasks, track progress, and ensure accurate reporting of work done.

Timesheets are not just for employeesmanagers and admins can also log their own work hours and submit timesheets for approval.


Why is the Timesheet Important?

Tracking work hours is crucial for understanding productivity, managing payroll, and optimizing team efficiency. Timesheet in We360.ai helps organizations log, monitor, and analyze time spent on various tasks, ensuring accurate work tracking and better resource management.

With Timesheet, managers and employees can:
✅ Log working hours manually.
✅ Track time spent on specific task entries.
✅ Gain insights into employee efficiency and time allocation.
✅ Improve workload distribution and project planning.


How to Use the Timesheet Feature?

For Standard Users

Users can access the Timesheet Dashboard, which contains two main sections (attached images below as well):

 1️⃣ Weekly View – Where users log their daily work hours.
 2️⃣
History – Where users track submitted timesheets and check approval status.

Logging Time Entries

Users can fill out timesheets under the Weekly View tab. The current week is selected by default, but users can switch between the previous or next week as needed.

When filling your timesheet, you’ll need to enter:

📌 What you worked on (e.g., "Google Ads campaign setup," "SEO optimization," "Client meeting", “Field work”).

📌 How long you worked on it (start & end time or just total duration).

 🔹 Three ways to log time:

  1. Enter Start Time & End Time, and the system calculates Duration automatically; or

  2. Enter Start Time & Duration, and the system fills the End Time automatically; or

  3. Skip Start & End Time and manually enter total Duration if unsure about exact timings.

Multiple entries can be logged in a single day for different tasks.

📌 Planned Timesheets: Users can pre-fill their next week's timesheet if they already know what tasks they will be working on.


Time Entry Formats – It’s Super Flexible!

We’ve made sure you don’t have to worry about exact formats—our system understands multiple ways to enter time:

For Start & End Time:
✅ Enter 1100 or 11.00 or 11:00 → It’ll be saved as 11:00 AM
✅ Enter 2130 or 21.30 or 21:30 or 9:30pm or 930pm → Saved as 9:30 PM
✅ Enter 2pm, 3pm & 11am → Saved as 02:00 PM, 03:00PM & 11:00AM respectively
Enter 130, 500, 930 → It will not work, because it doesn't follow 24-hour format(4 digit time) or 12-hour format (am, pm)
✅ Entering 0130, 0500, & 0930 will work → Saved as 1:30 AM, 5:00 AM, and 9:30 AM respectively

For Duration:
✅ Enter 10 or 10m → Saved as 10 minutes
✅ Enter 90 or 90m → Automatically converts to 1 hour 30 minutes
✅ Enter 1h 10m → No problem!
✅ Enter 1.5h → 
Automatically converts to 1 hour 30 minutes


Editing & Submitting Timesheets

✅ Users can edit timesheets before submission.
✅ Once submitted, the timesheet
cannot be edited.
To make corrections, the timesheet must be reopened by an admin/manager.




For Managers & Admins


Managers/Admins can:
🔹 Log their own timesheets.
🔹 Review & approve/reject team members' timesheets.
🔹 View other
managers' timesheets within the same team.

Managers/Admins have two tabs in their timesheet dashboard:

 1️⃣ My Timesheet – Log your own work hours.

 2️⃣ Team’s Timesheet – Review, approve, reject, or reopen team members’ timesheets.

The Team’s Timesheet tab includes three sections:

 1️⃣ Pending – Submitted timesheets awaiting approval.
 2️⃣
Approved – Approved timesheets for records.
 3️⃣
Rejected – Rejected timesheets with reasons for rejection.

Approving & Managing Timesheets

Clicking on the three dots in front of each employee () will show you options:

Approve – Accept the timesheet.
Reject – Send it back with feedback.

Reopen – Allow the user to edit and resubmit.

📍 Filters to Help You Find Data Quickly:

🔍 User Filter – View a specific employee’s timesheets.
📆
Date Range Filter – Access previous weeks' timesheets.

NotesNote: Once a timesheet is submitted, it cannot be edited unless reopened by a manager/admin.
